Quick Job Input

Get a job into the system in under a minute

Client on the phone, or a quick enquiry to log before you forget? Quick Job Input asks for just the essentials — client, date, pax, pickup time, origin, and as many drops as the job needs — then saves it as a draft and opens the full job editor so you can fill in everything else whenever you're ready.

Open Quick Job Input

From the dashboard, tap Quick job in the sidebar.

Fill in the basics

Client, date, passengers, pickup time, and Origin. Start typing an address and pick the real suggestion from the dropdown — Google resolves it to a verified location.

Add each drop

Arrival time and location per drop — distance and drive time fill in automatically from Google the moment both ends of that leg are known, still editable if you know better. Tap + Add drop for as many stops as the job needs.

Start the job

Tap Start job →. It saves as a Draft and drops you straight into the full job editor — itinerary, vehicle, pricing, everything else — with the basics already in place.

What carries across: Every drop's real Google-resolved address (not just the name you typed) goes with it into the full job editor — nothing needs re-entering.

Fill in the rest later: Quick Job Input deliberately doesn't show a price — it's just the fastest way to get a job on the books. Vehicle, pricing, extras, and everything else waits for you in the full job editor.
Google Maps

Auto-fill route km, drive time & tolls

Instead of estimating distances or looking up routes manually, CoachQuote can resolve any address through Google Maps and fill the leg automatically — kilometres, drive time, and a heavy vehicle toll estimate, all in one step.

Enter from and to addresses

Type any address, suburb, landmark, or venue name into the leg's From and To fields. No exact formatting needed — Google resolves it.

Tap the Maps button

The 🗺 Get route button on the leg sends the addresses to Google Maps. The km, drive time, and toll estimate fill in automatically within a few seconds.

Tolls update with your vehicle

Toll estimates use heavy vehicle rates by default (current Transurban/Linkt rates). If you select a minibus or car on the job, the tolls recalculate automatically using the lower car rate.

Airport pickup fee added automatically

If the pickup address contains an airport or terminal, CoachQuote adds the airport access fee as a named extra on the job — itemised on the client quote so it's never forgotten.

Toll estimates are a guide, not a guarantee. CoachQuote uses current published heavy vehicle rates (Transurban/Linkt, July 2026) and the road names in the Google route to estimate tolls. Toll direction is not verified — some tolls only apply in one direction (e.g. Sydney Harbour Bridge is southbound only, Eastern Distributor is northbound only). Always check the route before sending a quote to your client.
Client requests no tolls? Tick the Avoid tolls option on the leg before running the Maps lookup. CoachQuote will route around toll roads and set the toll field to $0.
AI Intake

Paste an enquiry, get a finished job

AI intake is its own screen — separate from Quick Job Input, for the enquiries that arrive as real client text (an email, an SMS, a WhatsApp message) rather than a call you're keying in yourself. It's one step: paste the text, and the AI reads it, Google checks the route, and it lands as a new job ready for you to check.

Open AI intake

From the dashboard or sidebar, tap ✨ AI intake. Optionally set Client/Date/Passengers/Vehicle first — anything you type there is kept as-is and won't be overwritten by what the AI reads.

Paste the whole enquiry

The client's email or message, text only — signature and all. Multi-day trips are fine: each day comes back as its own block. Images and attachments won't come across.

Tap Read & fill

One AI call reads the client/date/pax/pickup/drops, then Google checks the route for each leg — km, drive time, and tolls, same as a manually built itinerary. No separate review-then-continue step: it applies straight into a new job.

Check it, then quote it

You land in the job with the basics filled in and status set to AI Quote — a flag meaning it's system-generated and not yet manually reviewed. Check the route against your own knowledge (the AI reads text, not local shortcuts or closures), then move the status to Quoted once you're happy.

Adding a leg later? The same reader is available per-leg and per-day inside an existing job — look for Add leg from text on the itinerary, or Add day from text on a multi-day trip.
